Thank you for your interest in remote online notarization. Below you will find the requirements and processes necessary for me to be able to do a remote online notarization for you. You will need to be comfortable with computer technology--particularly Adobe Acrobat (pdf documents) and Zoom video conference software (free app download).

 

STEP ONE - IDENTITY VERIFICATION

  • All persons signing must have a valid mobile phone number and a tablet or mobile phone that can take high resolution photos (iphone 6 or higher equivalent). Signers may not share phone numbers and may not share devices.

  • Each signer must have a current, not expired, driver’s license or state-issued photo ID. Passports are not acceptable.

  • At the phone number on your mobile device, you will receive a link from vouched.id, an identity verification company that uses state-of-the-art facial recognition software. Click it and follow the instructions.

    • The app will direct you through steps to capture an image of your id and your face and automatically analyze/compare them.

    • The app will automatically notify me if you pass or fail. If you pass, we can proceed. If you do not pass, contact me for further instructions.

 

STEP TWO - DOCUMENT PREPARATION

  • There are three options/methods to choose from to provide me your document/s:

    1. In blue ink only, unless otherwise directed, signers can “wet-sign” (initial if necessary) their document at their location, scan it, and send it as a pdf attachment to: stephcros9@gmail.com.  Signed documents may also be mailed to me, but this will slow the process considerably.

    2. Signers may use touch-screen-technology computers, tablets or mobile devices to sign (and initial if necessary) their documents, save the document in pdf format, and email to me at: stephcros9@gmail.com.

    3. Signers may electronically or wet-sign just their hand- written signature that matches the signature on their driver’s license, in normal size (approximately 12 to 16- point font) on a white background (no colors, no lines, no other print). Save the file as a pdf and scan/send the image in pdf format to me. I will insert the signature/initial files where required during the notarization process.

 

STEP THREE - THE NOTARIZATION PROCESS

  • State law requires that a video record be kept of the notarization transaction.

  • We must first mutually agree on a date and time to do the video conference. Once confirmed, you will get an invitation to a Zoom conference on the agreed date and time. On that day and time, each signer must individually login to the zoom conference on their own device with the Zoom conference code and password both of which will be provided to you .

  • Once we have connectivity and can see each other, I will request your permission to record the transaction and begin the recording. You will be sworn in (oath or affirmation) and asked a few questions. That will end our Zoom video session.

  • I then will insert my electronic signature and electronic notary stamp where necessary in your document. Within an hour I will email the signed and notarized document back to you with a statement that it was executed using remote online notarization.

  • I will keep the video record for five years.

 

FEES

There will be a one-time $25.00 technology charge and $6.00 per notary stamp for documents ten pages or less. Contact me for documents above ten pages.
